The Problem We Found
Poland's healthcare system forces patients to manage their own records manually: paper folders, scattered apps, no single source of truth. Physicians are equally constrained: without access to a patient's complete history, every consultation begins almost from scratch.
We conducted 11 in-depth interviews across 8 chronic illness patients and 5 practising physicians to understand the lived experience on both sides of the consultation.
Key Findings
7 in 8 patients stored all medical records in paper format, in a folder they carried to every appointment.
4 in 5 physicians had no access to a patient's full history unless the patient attended the same facility.
All 8 patients used remote prescription renewal, yet only 2 discussed test results remotely with their doctor.
4 in 5 physicians were open to a platform integrating with home monitoring devices, if patients consented.
4 in 5 physicians confirmed patients frequently visited the wrong specialist due to a lack of health literacy.
"Patients bring everything accumulated over 20 years and arrive with a huge folder the doctor struggles to get through, especially when only a few key pieces of information are needed."

Three Patients, One Physician
Four archetypes emerged from the research synthesis, grounding every subsequent design decision in real user needs rather than assumptions.
Marek, "The Steady One"
Patient · Public Healthcare · 34
Clear post-visit guidance; a system that remembers what was discussed at the last appointment. Wants to consolidate records from multiple apps and paper documents.
His self-tracked measurements are routinely dismissed by his GP. Must constantly remind doctors of previous agreements.
Martyna, "The Efficient One"
Patient · Private Healthcare · 32
Save time on prescription renewals; access medical documentation when travelling abroad. Needs an app that works passively without constant manual input.
Previously abandoned health apps because they demanded too much manual upkeep. Has experienced missing documentation while abroad.
Janina, The Physician
Gynaecologist · Public Sector · 42
Patients who arrive prepared. Rapid access to a complete medical history. More time to dedicate to each patient rather than admin.
Spends most of her shift on paperwork. Can only access full records if the patient is registered at the same facility or brings all documents.
What MediFiles Does
MediFiles is a digital solution that connects Poland's fragmented healthcare landscape, NFZ, private providers and the patient's own scanned documents, into a single chronological record, accessible anywhere, shareable in seconds.
Easy & Fast Document Upload
Scan paper records with the in-app camera, upload from gallery, or import digital files directly.
Search, Filter & Tag
Find any record instantly using tags, categories, date range or doctor's name, all on a chronological timeline.
Personal Notes After Visits
Record recommendations, attach prescription photos, build a private health journal visible only to you.
Secure Sharing via MediKod
A 6-digit one-time code. Share selected documents with any specialist for a time you define, revocable at any moment.
Five User Journeys Through the App
Every interaction flow was built from a real user story. Five scenarios covered the complete patient experience, from first launch to sharing files with a doctor in an unexpected consultation.

Sharing Records Should Be as Easy as Paying with BLIK
MediKod is the centrepiece of MediFiles. A 6-digit one-time code generated by the patient, the doctor enters it, the patient approves, access expires automatically.
Patient selects documents & generates a 6-digit MediKod
Doctor enters the code on the physician web app
Patient approves the access notification on their phone
Doctor views records, access expires automatically at the set time
Ten Users. Real Fixes.
